02 Eligibility and Registration
To use WardFlowOS you must:
- Be aged 18 or over
- Be a qualified healthcare professional, healthcare student, or authorised support staff member
- Provide accurate and truthful information when registering an account
- Not register on behalf of another person without their knowledge and consent
- Have the authority to agree to these terms on behalf of any organisation you represent
TEYEOS Ltd reserves the right to refuse or terminate accounts that do not meet these criteria or that violate these Terms.
03 Accounts and Security
You are responsible for maintaining the security of your WardFlowOS account. Specifically, you must:
- Keep your password confidential and not share it with others
- Sign out of your account after each session, particularly on shared or NHS-issued devices
- Notify us immediately at hello.wardflowos@teyeos.com if you suspect unauthorised access
- Not attempt to access another user's account
- Not create multiple accounts to circumvent usage limits or restrictions
TEYEOS Ltd is not liable for any loss or damage arising from your failure to keep your account credentials secure.
04 Service Tiers and Subscriptions
WardFlowOS is offered in four tiers:

All paid subscriptions are billed in advance via Stripe. Prices are in GBP and exclusive of VAT where applicable. TEYEOS Ltd reserves the right to change pricing with 30 days' written notice to active subscribers.
05 Payment, Cancellation and Refunds
Billing: Paid subscriptions are processed by Stripe on behalf of TEYEOS Ltd. By entering your payment details, you authorise recurring charges at the agreed frequency (monthly or annual).
Cancellation: You may cancel your subscription at any time through the billing portal accessible within WardFlowOS or by contacting hello.wardflowos@teyeos.com. Cancellation takes effect at the end of the current billing period. Your access continues until that date.
Refunds: We do not offer refunds for partial billing periods. In exceptional circumstances (e.g. billing error, significant service failure), refund requests may be considered at the sole discretion of TEYEOS Ltd. Contact hello.wardflowos@teyeos.com within 14 days of the charge in question.
Failed payments: If a payment fails, your space may be downgraded to Trial or Ad-Hoc tier. We will notify you by email. You have 7 days to update your payment details before downgrade occurs.
NHS purchase orders: NHS organisations wishing to pay via purchase order should contact hello.wardflowos@teyeos.com. Invoices will be raised by TEYEOS Ltd under standard NHS payment terms (30 days).
06 Acceptable Use
You agree to use WardFlowOS only for its intended purpose of clinical task coordination. You must not:
- Enter full patient names, NHS numbers, date of birth, address, or other directly identifying patient information into the platform
- Store detailed clinical records, investigation results, prescriptions, or medication information
- Use the platform as a substitute for your organisation's Electronic Patient Record (EPR) system
- Share your invite code publicly or with individuals who are not part of your clinical team
- Attempt to reverse-engineer, decompile, or copy any part of the WardFlowOS software
- Use the platform for any unlawful purpose or in violation of any applicable regulation
- Attempt to circumvent security controls, rate limits, or access controls
- Upload malicious code, scripts, or content designed to disrupt the service
- Scrape, harvest, or systematically extract data from the platform
- Impersonate another healthcare professional or create misleading user profiles
07 AI Priority Planner
The AI Priority Planner uses Claude (developed by Anthropic) to rank and prioritise your assigned clinical tasks. By using this feature you acknowledge and agree that:
- The AI Planner provides suggestions only — it does not constitute clinical advice or decision-making
- Task descriptions you enter are transmitted to the Anthropic API for processing. You must not include patient names, NHS numbers, or other directly identifying information in task descriptions
- AI-generated prioritisation may not reflect the full clinical picture and should be reviewed critically by a qualified clinician
- TEYEOS Ltd is not liable for any clinical outcomes arising from reliance on AI-generated task rankings
- Usage is subject to per-tier daily limits (Ad-Hoc: none; Pro Shift: 5/day; Trial: 3/day; Licensed: unlimited)
08 Ward Space Ownership and Access
Space owners are responsible for managing member access within their ward space, including:
- Issuing invite codes only to authorised members of their clinical team
- Setting appropriate access levels (Owner, Editor, Viewer) for each member
- Removing members who leave the team or no longer require access
- Ensuring the ward space is used in compliance with these Terms and their organisation's IG policies
Space members agree to use the space only for the clinical coordination purposes for which it was created and to comply with instructions from the space owner regarding data entry and access.
TEYEOS Ltd reserves the right to suspend or terminate any ward space found to be in breach of these Terms.
09 Intellectual Property
WardFlowOS and all associated software, code, design, brand assets, and content are the exclusive intellectual property of TEYEOS Ltd. All rights are reserved.
- You may not copy, reproduce, modify, distribute, or create derivative works of any part of the WardFlowOS software without express written permission from TEYEOS Ltd
- The WardFlowOS name, logo, and brand identity are trademarks of TEYEOS Ltd
- Nothing in these Terms grants you any ownership rights in the platform or its underlying technology
Content you create within WardFlowOS (task descriptions, notes, ward configurations) remains your own. By entering content into the platform, you grant TEYEOS Ltd a limited licence to process and store that content solely for the purpose of providing the service to you.
10 Data Protection
TEYEOS Ltd processes personal data in accordance with UK GDPR and the Data Protection Act 2018. Full details of how we collect, use, store, and protect your data are set out in our Privacy Policy, which forms part of these Terms.
By using WardFlowOS, you confirm that:
- You have read and understood our Privacy Policy
- You will not enter full patient identifiers or sensitive clinical data contrary to our data minimisation guidelines
- Where you are using WardFlowOS as part of your employment, you have ensured that such use is permitted under your employer's information governance policies
11 Availability and Service Levels
TEYEOS Ltd aims to provide a reliable and available service but does not guarantee uninterrupted access. The platform may be temporarily unavailable due to:
- Scheduled maintenance (we will provide advance notice where possible)
- Unplanned outages affecting our infrastructure providers (Google Firebase, Anthropic)
- Circumstances beyond our reasonable control (force majeure)
WardFlowOS is provided on an "as is" and "as available" basis. We do not warrant that the service will be error-free or that defects will be corrected immediately.
12 Limitation of Liability
To the maximum extent permitted by applicable law, TEYEOS Ltd shall not be liable for:
- Any clinical decisions made or not made based on information within WardFlowOS
- Any patient harm, adverse outcomes, or missed clinical tasks
- Loss of data arising from service interruption, account deletion, or space expiry
- Indirect, consequential, incidental, or special damages of any kind
- Losses arising from your failure to comply with these Terms
Where liability cannot be excluded by law, TEYEOS Ltd's total aggregate liability shall not exceed the subscription fees paid by you in the three months preceding the event giving rise to the claim.
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.
13 Termination
By you: You may terminate your account at any time by contacting hello.wardflowos@teyeos.com or by deleting your account from within the platform. Paid subscriptions will continue until the end of the current billing period.
By TEYEOS Ltd: We reserve the right to suspend or terminate your account immediately and without notice if:
- You breach any provision of these Terms
- We reasonably believe your use poses a risk to patient safety, data security, or the platform's integrity
- Your account has been inactive for more than 12 months (for free tier accounts)
- We are required to do so by law or regulatory order
Upon termination, your access to ward spaces will cease. Data associated with your account will be retained and deleted in accordance with our Privacy Policy.
14 Changes to These Terms
TEYEOS Ltd may update these Terms of Use from time to time. We will notify you of material changes by:
- Updating the "Last Updated" date at the top of this page
- Sending an email notification to registered users
- Displaying an in-app notice when you next sign in
Your continued use of WardFlowOS after changes take effect constitutes acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using the platform and may terminate your account.
15 Governing Law and Disputes
These Terms of Use are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of WardFlowOS shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Before initiating formal proceedings, we encourage you to contact us at hello.wardflowos@teyeos.com to attempt to resolve the matter informally. We will endeavour to respond within 10 business days.
